SUMMARY:  This position is located on the Tonkawa campus in the Administration Building. Reports to the Administrative Assistant for Academic Affairs.  Responsible for working in conjunction with not only the Administrative Assistant but also all other staff in Academic Affairs.

ESSENTIAL DUTIES AND RESPONSIBILITIES include:

  • Greet and assist visitors, students, faculty and staff.
  • Knowledge of how to work the fax machine, copier, printers, a multiline phone line as well as give directions on how to navigate the campus and direct people to the appropriate office.
  • Computer literate in Word and Excel and very detail-oriented.
  • Filling the paper trays in the copy machine, printers and fax machine daily.  Unpack cases of paper and put up in brown cabinet in copy room, when delivered.  Notify Administrative Assistant when paper supply is low.
  • Sort mail and courier bags into appropriate mailboxes.
  • Keep mailboxes and mailbox list updated with new employee names with labels.
  • Cover lunch and breaks, so office is never left empty.
  • Answer phone lines after third ring.  This will consist of either transferring a call or take a message.
  • Make purchases at the bookstore for the dept and run various errands as needed.
  • Create Dean’s Honor Roll certificates each semester and prepare them for mailing.
  • Contact junk mail subscriptions that need to be cancelled, either by phone or fax.
  • Assist with all areas of the Academic Affairs office.
  • Assist or fill in for the President’s Administrative Assistant, on an as needed basis.

QUALIFICATIONS:  Excellent interpersonal, oral, and written communication skills as well as expertise to accomplish the above essential duties and responsibilities are required. Academic Affairs will be flexible with the student’s work schedule and work around class schedules and activities. Assistant.  It is acceptable to study when all work is completed and student has checked with all areas of Academic Affairs that there are no additional projects needed, but still making every effort to acknowledge visitors when they come through or assist them when necessary.  Spending an excessive amount of time on a cell phone, whether texting or on the internet, is not acceptable.

This position is located on the Enid campus.
